Q. How can off-site be cheaper than keeping our records on-site?
A. Successful companies monitor operating costs closely. When you pay $6.00 to $12.00 a square foot to use your premises as a storage area, especially when this area could be used for company core business, the low per box cost of storing off-site becomes very attractive. You also save on shelving and renovation expenditures. Contact us for more information.
Q. Will my records be safe?
A. Our building exceeds the rigid standards that have been established for commercial storage of records. Concrete construction with steel stud and drywall dividing walls virtually eliminate fire hazards. The building has a complete fire suppression system, including monitored sprinkler systems and standby hoses. All boxes are stored on metal "pallet style" racking which exceeds city earthquake requirements
The company owned building employs a compete security system. A twenty-four hour recorded video system continuously monitors activity outside and inside. The alarm system includes both passive and infra-red systems and is monitored off-site twenty-four hours a day. Perimeter and loading areas are restricted areas security by cyclone fencing. The storage area is only accessible to required staff using time recorded computer entry cards.
Some companies may have concerns that sensitive company records stored on-site may be accessible to unauthorized staff. At B.C. Records, only persons with written authority have access to confidential files. Contact us for more information.
Q. How will off-site storage improve our records management program?
A. Moving off-site requires boxing and classification of records. This will result in a standardized inventory of company information by contents and retention periods. You will be able to restrict access to information to selected personnel. Most data is only required to be kept for a certain period of time. Our on-site programmed destruction of obsolete information curtails liability and reduces storage costs. Contact us for more information.
